Payment & Scheduling Policies
Payment Policy
Payment is due in full at the time of service. This policy allows appointment times to be reserved specifically for you and supports the sustainability and consistency of care.
As a private practice, clinicians are not salaried employees and earn income only for services that are provided. Appointment times are held exclusively and require preparation, documentation, and clinical planning.
Late cancellations and missed appointments are charged the full session fee. When a session is missed or canceled outside the required notice period, that time typically cannot be rebooked.
Requiring payment in full supports fairness, clarity, and respect for the time and care involved in trauma-focused therapy. This policy is not intended to be punitive, but to establish clear expectations and ethical practice.
Accepted Forms of Payment
The following forms of payment are accepted:
Credit and debit cards
HSA/FSA cards
Cash
Check
Receipts and superbills are available upon request.
Cancellation & Scheduling Notice Requirements
Because appointment times are reserved exclusively and longer sessions require additional preparation, advance notice is required for cancellations and rescheduling.
Notice periods are calculated in hours and apply only to weekdays (Monday–Friday). Weekend days are not counted toward the notice period.
Standard Therapy Sessions (60 minutes): At least 48 hours’ notice is required prior to the scheduled appointment time.
Extended Sessions (90 minutes): At least 72 hours’ notice is required prior to the scheduled appointment time.
Ketamine-Assisted EMDR Therapy™ (KA-EMDR™ – 90–120 minutes): At least 72 hours’ notice is required prior to the scheduled appointment time.
EMDR Intensives (multi-hour or multi-day): A minimum of two weeks’ notice is required prior to the scheduled start date.
By scheduling an appointment, you acknowledge and agree that late cancellations and no-shows are billed at the full session rate, as outlined above and in the Consent for Treatment, Financial Agreement and Attendance Policy.
